Who we are and what we do

The Greater London Authority (GLA), also known as London City Hall, is London’s regional government, with jurisdiction over Greater London and the City of London. The GLA is made up of the Mayor of London and the London Assembly.

The GLA Democracy Hub is an information resource for the GLA Civic and Democratic Participation Programme - a non-party political, year-round programme of projects and campaigns through which the GLA supports all Londoners, but especially under-registered and under-represented Londoners, to access their civic and democratic rights. The programme is delivered in collaboration and coordination with statutory bodies and a broad civil society coalition.

Why we handle personal information

Under data protection legislation, the GLA is only allowed to process personal information if we have a valid reason (known as a 'legal basis') to do so.

The ‘legal basis’ relied on to process the personal data we hold will depend on the way in which you have engaged with the GLA, or the service or product you use or sign up for. In most cases, however, our handling of your personal information will be necessary for the delivery of our public functions. In other words, when we use personal information, we do so to deliver better public services to Londoners as individuals and to the city as a whole.

Personal information we may collect about you and how we use it

You can browse our website without disclosing any information about yourself.

To sign up for to our newsletter we will ask you to provide information about yourself. 

Information we ask for may include:

  • your name
  • your email address
  • the capacity in which you are contacting the GLA (for example, as a London resident)

We will only ever ask you to provide the information necessary for that purpose.

The GLA Civic and Democratic Participation Team will use the information provided by you in order to send you updates on the information or events related to the Hub.  The GLA may also use the information in order to improve and develop the Hub and the services provided by the GLA as a whole and may ask you to complete questionnaires regarding your use of the Hub and attendance at the events detailed on the Hub. 

Other personal data we may collect from your interactions with our hub include:

  • your Internet Protocol (IP) address, and details of which version of web browser you used
  • information on how you use the site, using cookies and page tagging techniques

The legal basis for processing this data is in our legitimate interest to ensure optimum user experience on our website.

Electronic collection of information: If you are a user with general public and anonymous access, the Hub does not store or capture your personal information but logs the Internet Protocol ("IP") address of your computer. 

When we ask you to provide information, we will tell you what this data will be used for, and we will give you the option to choose if you would like us to send you information about what we do.

We use Google Analytics to collect information about how you use https://registertovote.london/. We do this to help make sure the site is meeting the needs of its users and to help us make improvements, for example improving site search.

The GLA uses cookies to collect statistics related to your use of the Hub and these are used to help the team to follow browsing preferences and improve future use of the Hub. These statistics do not include any information that can be used to identify any individual. Read more about cookies at the bottom of this page.

Protecting your information

We aim to have a secure and reliable website and use appropriate security technology to protect any personal data we process about you. But your use of the internet, and this website, is entirely at your own risk. We have no responsibility or liability for the security of personal information transmitted over the internet. 

The internet is not a secure medium and it is important that you are aware that any information sent via the internet may be intercepted. If you send any information using the feedback forms, questionnaires or via email this will not be sent using a secure transmission method and may be read by others.

Any personal information collected by the GLA will be held and processed securely using appropriate procedures and all staff and agents processing personal data are aware of their obligations under the Data Protection Law. The GLA shall only hold personal information for as long as necessary to fulfil the purpose for collecting the information.

The GLA may transfer the management of the Hub to a third party and in such an event you agree to your information being transferred and/ or processed by the third party. The GLA will ensure that any organisation managing the Hub is contractually obliged to comply with the Data Protection law and this Privacy Notice.

Sharing your information

We will not:

  • sell or rent your data to third parties
  • share your data with third parties for marketing purposes without express permission

Updating your details

If any of the information that you have provided to us changes, for example if you change your e–mail address or if you would like us to stop processing your personal information, please let us know by sending an email to democracy@london.gov.uk or by sending a letter to Greater London Authority Civic and Democratic Participation Team, re: GLA Democracy Hub, 169 Union Street, London, SE1 0LL . .

Your consent

By submitting your personal information, you consent to the use of that information as set out in this Privacy Notice.  If we change our Privacy Notice we will update this page and may place notices on other pages of the Hub, so that you may be aware of the information we collect and how we use it at all times.  Continued use of the service will signify that you agree to any such changes.

Owing to the global nature of the internet infrastructure, the information you provide may be transferred in transit to countries outside the European Economic Area that do not have similar protections in place regarding your data and its use as set out in this notice. However, we have taken the steps outlined above to try to improve the security of your information. By submitting your personal information, you consent to these transfers.

Crime prevention and detection

The GLA may use personal information provided by you to detect and prevent crime and may disclose the information to the police where it believes that such information would assist police investigations.

Access to your personal data

Under the Data Protection Law, you have the right to access your personal data. Cookies

The GLA Democracy Hub saves a piece of text - a cookie - on your computer's hard disk so that it can remember who you are.

A cookie will typically contain the name of the website from which the cookie has come, the lifetime of the cookie and its name. It does not give us access to the rest of your computer and only the site that created the cookie can read it.

We use the following types of cookies:

  • session cookies: to ensure you are recognised when you move from page to page within our site and that any information you enter is remembered
  • persistent cookies: to recognise you as a unique visitor to our website so that we can tailor content to match your interests

We embed videos from our YouTube channel, therefore, due to YouTube's privacy-enhanced policy you may find that cookies are set on your computer once you have clicked to play the videos.
